Collecting group dues with mobile money: a practical guide
How to collect contributions by mobile money — group wallets vs direct transfers, payment references, reconciliation, reminders and avoiding common MoMo scams.
Cash at meetings is how money goes unrecorded. Mobile money — MTN MoMo, Telecel Cash and AT Money in Ghana, M-Pesa in Kenya, and the growing range of wallets and instant bank transfers elsewhere — gives every payment a timestamp and reference, and lets members pay from wherever they are. Here's how to set it up properly.
Three ways to collect
1. Pay the treasurer's personal number (avoid)
Easy to start, but it mixes group and personal money, depends on one person, and makes audits painful.
2. A dedicated group wallet or merchant account
A number or till used only for the fund. Much better: statements show only fund money, and several officials can have visibility. Check what your provider offers for groups and businesses.
3. Automated collection through your fund software
The member taps "Pay", approves a prompt on their phone with their own PIN, and the payment is matched to their account automatically — no screenshots, no manual ticking. This is how AwaFund works: the payment lands, the contribution is recorded, shares are issued and the member's standing updates in one go.
Make every payment identifiable
If payments aren't automated, agree a reference format:
Member number + month, e.g.
M-0012 MAR
and ask members to use it every time. Then once a month, the treasurer reconciles: every payment on the statement is matched to a member and month, and every recorded contribution has a matching payment.
A monthly reconciliation routine
- Download the wallet or account statement for the month.
- Match each incoming payment to a member and month.
- Investigate anything unmatched — wrong reference, wrong amount, unknown sender.
- Check the closing balance equals the cash balance in your books.
- Have the audit committee review it — see the annual audit checklist.
Reminders that actually work
Most late payments are forgotten, not refused. A friendly nudge two or three days before the due date and another on the day make a big difference — copy our WhatsApp reminder templates.
Protect members from scams
Common mobile money scams target group members because they expect to send money regularly. Remind everyone:
- Never share your PIN — no official will ever ask for it.
- Only approve prompts you started. An unexpected "approve payment" request is a red flag.
- Check the recipient name before confirming a transfer.
- Be wary of "wrong transfer, please send back" messages — check your actual balance first.
- Official numbers don't change by text message. Confirm any new payment number in a meeting or with two officials.
Refunds and reversals
Decide who handles overpayments, duplicates and payments to the wrong number, and record every refund in the books with a reason. It's a surprisingly common source of confusion.
Common problems and quick fixes
| Problem | Quick fix |
|---|---|
| Payment with no reference | Ask the member for the transaction ID; match by amount and time |
| Paid to the wrong number | Contact the provider promptly; record once resolved |
| Double payment | Credit it to the next month or refund — record either way |
| Member can't find how to pay | Pin the payment details in the group chat |
Once money is coming in, reconcile your mobile money statement every month and issue proper receipts, because screenshots alone aren't proof of payment.
Getting started
For a merry-go-round, have members pay the recipient directly and tick them off — the free planner has payment tracking and one-tap WhatsApp reminders. For a full savings fund, AwaFund sends mobile money prompts straight to members' phones and posts every successful payment to the right member automatically.
Frequently asked questions
Should members pay into a group wallet or the treasurer's number?
A dedicated group wallet or merchant account is best. If you must use a person's number temporarily, use a separate line only for the group and reconcile it monthly — never mix it with personal money.
How do we match payments to members?
Ask members to include a reference such as their member number and month (for example "M-0012 MAR"), and reconcile against the statement every month. Automated collection matches payments for you.
What should members never do?
Never share their mobile money PIN with anyone, including group officials, and never approve a payment prompt they didn't start.
